Terms & Conditions

These Terms & Conditions (“Agreement”) are between The Human Atlas Institute, operated by Kumi Consulting & Co., LLC, Austin, Texas (“HAI,” “we,” “us,” or “our”), and the applicant or participant (“you”). Applicants acknowledge the application rules when submitting an application. Participation, payment and cancellation obligations take effect upon acceptance of a place and express agreement to these Terms, subject to applicable law.

1. Participation and commitment

HAI is a four-day residential gathering limited to twelve participants, October 10–13, 2027. OCTOBER 10 IS DAY ONE OF THE GATHERING, not a pre-arrival day. Participants agree to attend and engage in good faith, provide accurate application information, respect others, and follow reasonable program and safety directions. The program begins at 9:00 a.m. local Côte d’Azur time on October 10, 2027. Detailed arrival instructions will be sent to accepted participants sufficiently in advance. Included hotel nights are October 10, 11, 12 and 13, with checkout October 14. Participants choose when to travel, but must arrange to be present for the October 10 program. Anyone arriving before October 10, including international travelers, must reserve and pay for all earlier hotel nights independently and confirm availability directly with the hotel. HAI does not provide or pay for pre-October 10 accommodation. HAI will provide venue and arrival information to accepted participants with their acceptance and payment instructions.

2. Participation fee, payments and cancellations

2.1 Total fee. $7,100 per person, payable in two installments. The published fee excludes VAT and U.S. sales tax; any applicable legally required taxes, if any, will be identified before an accepted participant agrees to pay. All payments are made in US dollars.

2.2 Due dates. The standard fee is payable in two equal instalments: $3,550 by February 12, 2027, and the same amount by March 30, 2027, in US dollars. Payments must be received by 11:59 p.m. Eastern Time on the applicable due date. Participants are responsible for bank, payment-service, transfer or currency-conversion fees charged by their financial institution. Payment instructions are sent to accepted applicants. Applicant decisions will be communicated by February 7, 2027.

Local resident fee. Eligible local residents may apply for one of two reduced rates. The local rate without overnight hotel accommodation carries a 50% discount; the local rate with overnight hotel accommodation carries a 25% discount. Dollar amounts and instalments will be confirmed by HAI before payment. Local-rate eligibility and the selected overnight option must be confirmed by HAI before payment.

2.3 Nonrefundable payments. Payments are nonrefundable except as expressly provided in this Agreement or required by applicable law. A payment transfer is not a cash or card refund.

2.4 Cancellation and transfer. If HAI receives a participant’s written cancellation on or before August 11, 2027, payments already made may be transferred once to a future HAI gathering scheduled within two years of the October 2027 gathering, subject to availability and the conditions in this Agreement. The credit may not be transferred to another person. If no eligible gathering is scheduled within that period, the credit expires, except where law requires otherwise. If cancellation is received after August 11, 2027, payments are forfeited and no transfer is available, except where law requires otherwise.

2.5 Procedure. Send cancellation notices to info@thehumanatlasinstitute.com. HAI will confirm receipt in writing. The receipt date determines eligibility under the cutoff.

2.6 Missed payments. If a payment is not received by its due date, HAI may release the place to another applicant after written notice, subject to applicable law. Amounts previously paid remain governed by these Terms.

3. Inclusions and exclusions

3.1 Included: Four nights in a four-star hotel and spa, October 10–13 (checkout October 14), with a queen-size bed for each participant; four breakfasts; three lunches; two dinners; coffee and bottled water during the gathering; one included apéritif each evening; hotel spa facilities from 8:00 a.m. to 10:00 p.m., comprising the heated indoor pool, hammam, outdoor jacuzzi overlooking the Mediterranean, solarium, chromatic shower and fitness area; access to the Place des Pins pétanque court; programmed inland excursions; local transportation during scheduled gathering activities; and facilitation by Elise Krentzel. Spa access and amenities remain subject to hotel operating rules and availability. Massages and treatments are available separately at additional cost.

3.2 Not included: Airfare; airport transfers; travel to or from the HAI venue outside programmed activities; hotel nights before October 10 (including October 9) and after the four included nights; the October 12 group lunch in town, paid individually; other unscheduled meals; wine, which is billed separately; minibar purchases; beverages and extras outside the included coffee, bottled water and nightly apéritif; massages and spa treatments; optional services and activities; personal expenses; and required travel insurance. Participants wishing to arrive early, including those flying from overseas, independently book and pay for additional hotel nights, subject to availability.

Participants arrange and pay for their own travel and required insurance. HAI will provide venue and arrival information to accepted participants with their acceptance and payment instructions.

4. Recording, participant privacy and use of materials

4.1 Whole-group recordings. HAI may video-record selected sessions only when the full group is assembled. HAI may extract audio from those recordings for the purposes described in these Terms and the Privacy Notice. Conversations involving two people or smaller groups will not be recorded.

4.2 Recording preference. Before a session is recorded, each participant will have selected a recording preference. Participants may consent to being included in selected whole-group recordings or opt out of inclusion. A participant may update their preference by written notice to HAI before a session is recorded.

4.3 Opt-out. A participant who opts out may be present while a whole-group session is recorded. Before any recording is used, HAI will edit the participant’s image, voice and identifiable contributions out of the recording. If those elements cannot be reliably removed, HAI will not use that recording. HAI will not intentionally identify an opted-out participant or publish their identifiable image, voice or contributions from a recording.

4.4 Optional interviews. Final-day interviews are entirely optional. HAI will obtain separate consent before conducting and using any interview. Declining an interview will have no effect on admission or participation.

4.5 Use of recordings. Participants who consent to inclusion authorize HAI and Kumi Consulting & Co., LLC to edit, reproduce, publish and distribute their recorded image, voice and contributions for the purposes described in these Terms and the Privacy Notice, including books, articles, podcasts, videos, websites, social media, educational materials and promotional materials. This authorization applies only to participants who have affirmatively consented to inclusion. HAI will retain recordings and related documentation according to the purposes, access and retention practices explained in the Privacy Notice.

5. Participant conduct

Participants must treat one another, staff, facilitators and local partners with respect; respect privacy and personal boundaries; refrain from harassment, discrimination, threats, aggression, illegal drug activity and other disruptive behavior; consume alcohol responsibly; obey applicable laws and reasonable safety instructions; and participate in good faith. HAI may remove a participant whose conduct materially compromises the safety or integrity of the gathering. To the fullest extent permitted by law, removal for such conduct does not create an entitlement to a refund or transfer.

6. Travel insurance and participation needs

Participants must obtain and maintain comprehensive travel insurance at their expense, including appropriate coverage for trip cancellation and interruption, medical emergencies, emergency evacuation and repatriation, and personal belongings. HAI does not provide personal travel insurance. Participants are responsible for assessing their ability to participate and for informing HAI in advance of relevant accessibility, mobility, dietary or other participation requirements. HAI will discuss reasonable accommodations and available hotel options but cannot guarantee every request can be met.

DIETARY AND ACCESSIBILITY ARRANGEMENTS: After acceptance, HAI will request participant-specific dietary requirements, food intolerances and allergies through a secure, restricted-access process and pass only necessary information to the hotel for meal planning. The hotel has indicated it can accommodate vegetarian, vegan and gluten-free diets; menus will be provided later. Applicants should not be required to disclose health or allergy information in the initial nine-question application.

7. Risks, liability and medical emergencies

Participation is voluntary and may involve international travel, walking, excursions, transportation, outdoor environments, unfamiliar foods and substantive discussion. Such activities carry inherent physical, travel and emotional risks. To the fullest extent permitted by applicable law, participants release HAI, Kumi Consulting & Co., LLC and their personnel from claims arising from ordinary negligence connected with participation, but not from claims that cannot lawfully be waived. Participants agree, to the extent permitted by law, to indemnify these parties against third-party claims arising from their own unlawful or negligent conduct or material breach. In emergencies, HAI may contact medical services or assist in obtaining care; participants remain responsible for associated expenses, subject to their insurance.

8. Event cancellation and force majeure

HAI may cancel the gathering if circumstances outside its reasonable control make it impossible or unsafe to proceed, including severe weather, natural disasters, public-health emergencies, government restrictions, border closures or venue unavailability. If HAI cancels the gathering, it will refund HAI gathering payments received within thirty days, subject to applicable law. HAI is not responsible for participants’ independently booked airfare, transfers, additional accommodation, visas or other travel costs, except where law requires otherwise. If fewer than eight participants are confirmed by April 1, 2027, HAI may cancel and refund all gathering payments received.

9. Governing law and jurisdiction

Subject to mandatory laws applicable to participants, this Agreement is governed by Texas law, without regard to conflict-of-law principles. To the extent permitted by law, disputes may be brought in the state or federal courts located in Austin, Travis County, Texas.

10. General provisions

This Agreement constitutes the parties’ agreement about participation and supersedes prior representations on that subject, except where applicable law provides otherwise. HAI may update these Terms before the gathering, but material changes affecting payment or fundamental participation rights will be communicated in writing and handled in accordance with applicable law. If a provision is unenforceable, the remainder remains in effect to the extent legally possible. Failure to enforce a provision is not a waiver.
